Senior Administrator/Paraplanner

We’re seeking an experienced Senior Administrator/Paraplanner to play a key role in supporting advisers, producing high-quality technical work and helping maintain efficient, compliant processes across the business.
About the Role
This is a varied, senior-level position combining technical paraplanning duties with high-level administrative support. You’ll work closely with our advisers to ensure each client’s journey – from onboarding through to review – runs smoothly, accurately, and compliantly. You’ll also play an important mentoring role within the team, supporting and guiding more junior colleagues.

Key Responsibilities
Client and Provider Communication:

Answering incoming calls and responding to queries in a professional manner.

Chasing providers for outstanding information when required.

Chasing clients for outstanding information when required.

Proactively contacting clients or providers directly to obtain missing information rather than relying on advisers.
Technical and Paraplanning Work:

Maintain compliance records and the FCA Daybook.

Analyse existing policy arrangements once Letter of Authority information is received.

Complete portfolio overviews for advisers based on Letter of Authority data.

Produce risk reports, fund research, and cashflow models.

Produce annual review reports for clients.

Write suitability letters for all business (e.g. transfers, new policies, top-ups).

Complete all necessary research to produce reports.

Complete new business submission sheets and ensuring online submissions are made once cases are fully compliant.

Conduct research for protection products.

Prepare recommendation overviews and documentation for adviser meetings.
Operational and Team Support:

Sitting in on adviser meetings at Willday Wealth Management to provide technical or administrative support.

Quality checking any reports or documents produced by junior staff members.

Ensuring activities are correctly set for the admin team to chase ongoing work (e.g. transfers, complaints).

Providing support, guidance, and training to junior members of the team where possible.

Booking meetings with clients and managing adviser diaries when required.
About You:
The ideal candidate will have:
- At least 5 years’ experience in a paraplanning or senior financial services administration role within an IFA or wealth management firm
- Strong technical knowledge of pensions, investments and protection products
- Excellent attention to detail and accuracy in written work
- Strong communication and organisational skills
- Proactive, problem-solving approach and ability to manage multiple priorities
- Confidence using platforms such as FE Analytic, Defaqto, and CashCalc
