We’re seeking a professional Senior Administrator with a strong background in financial services to oversee client administration, support advisers, and ensure smooth operational delivery. This is a key role within our close-knit, forward-thinking wealth management team.

 

About the Role

As our Senior Administrator, you’ll be responsible for the efficient day-to-day running of the office and for ensuring all client and provider communications are handled promptly and accurately. You’ll be the go-to person for managing correspondence, organising documents, chasing providers, and supporting advisers with their administrative needs.

This position is ideal for someone who enjoys structure, communication, and problem-solving, and who thrives in a professional services setting.

You’ll act as the central point of contact for clients, providers, and internal teams, maintaining efficiency and compliance across all workflows, additionally demonstrating excellent organisational skills and proficiency in IT tools.

 

Key Responsibilities

  • Oversee the daily running of the office and administrative functions.
  • Manage incoming calls, emails, and post, ensuring all enquiries are directed appropriately.
  • Manage client documentation, correspondence, and data accuracy within CRM systems.
  • Liaise with providers to obtain policy and investment information.
  • Prepare client meeting packs, portfolio summaries, and annual review documents.
  • Keep track of deadlines, follow up on outstanding items, and ensure nothing slips through the cracks.
  • Oversee shared inboxes and ensure timely responses.
  • Support advisers by producing research reports and risk assessments.
  • Maintain regulatory records, including the FCA daybooks and client files, in accordance with relevant regulations.
  • Support and mentor junior administrative staff when required.
  • Upload and scan documents, ensuring all records are compliant and up to date.
  • Identify opportunities to improve systems, processes, and client service standards.
  • Coordinate complex administrative tasks, such as transfers, Letters Of Authority, and compliance submissions.

About You

The ideal candidate will:

  • Have at least 5 years of experience in financial services administration within an IFA or wealth management firm.
  • Be highly organised, reliable, and proactive in managing multiple tasks.
  • Be currently employed by or have recently worked for a financial advisory business.
  • Be confident working independently and autonomously, managing multiple priorities with precision and care.
  • Have exceptional attention to detail and a proactive approach to problem-solving.
  • Have a friendly, professional approach and a genuine interest in supporting both clients and colleagues.
  • Possess excellent communication and organisational skills.
  • Be familiar with financial platforms, CRM systems, and provider portals.
  • Be comfortable and confident talking to clients and providers over the phone.
